Time Blocking Planner

Time blocking simply means giving every task a space in your week, so client work, your own business tasks and life all have their own allocated time. Work through the steps, then fill in your week below.

✳ Heads up: this is a fill in and print page. Add your answers on screen, then print to keep, as it won't save once you leave the page.

1. Brain dump everything

Before you plan your week, get everything out of your head and onto the page. Include client work, your own business tasks like marketing and admin, and personal commitments like the school run, appointments and time off.

2. Group your work into blocks

Rather than jumping between different types of task, it helps to batch similar work together. Give each block a simple label so you can drop it into your week. Here are some to get you started, and space to add your own.

See how it looks

There are two easy ways to do this, so here are a couple of examples for a single day to show you how it works. Use whichever keeps you on track, or try both and see what fits.

Example one: blocked tasks
9.00amSchedule social media for client 1
9.30amSchedule social media for client 1
10.00amCreate templates for client 2
10.30amCreate templates for client 2
11.00amReply to emails
11.30amPlan for next week
12.00pmLunch and a break
1.00pmCreate social posts for next week
2.00pmSchedule social posts
2.30pmCreate landing page for client 3
Example two: blocked time
9.00amClient work
10.00amClient work
11.00amBusiness admin
12.00pmLunch and a break
1.00pmBusiness marketing
2.00pmBusiness marketing
2.30pmClient work
3.00pmClient work

Example one gives each individual task its own slot. Example two blocks out chunks of time by type of work, so you group similar tasks together. Leaving a few gaps is a good idea too, so there's room for anything unexpected.

3. Block out your week

Now place your blocks into the week below. Start with the things that are fixed, like the school run or set appointments, then fill in your work around them. Leave some gaps too, so there's room for the unexpected.
